The Sr. Inventory Specialist is responsible for ensuring we have the right products in stock at all times.  This position coordinates new product launches and serves as the primary point of contact for critical vendor relationships.  This role oversees daily internal and external communications regarding stock and works to manage order placement and receipt in a financially responsible and timely way.   




Purchase Orders

  • Responsible for maintaining proper inventory levels of the right products.
    • Daily review and finalization of purchase orders, to ensure we maintain inventory levels.  Leverage the PO reports, waitlist, knowledge of media promotion calendar, and other current company events.
    • Critically review daily purchase orders over $2k for reasonability and accuracy, ensuring we adhere to minimums and other vendor guidelines.
  • Assist in recording packing slips or invoices into QuickBooks, documenting any discrepancies.
  • Assist in making appropriate adjustments for errors in receipts or billing, and work with accounting to contact vendor as appropriate for reconciliation.
  • Assist in maintaining accurate records of open purchase orders.


Inventory Control / Management

  • Regularly monitor all new and out of stock products on order against the waitlist and recommend action steps to be taken.
  • Proactively identify and communicate to Inventory Manager fast-moving products that may need reorder point changes.
  • Assist in coordinating the research and troubleshooting of product stock issues, including issues pertaining to quality, changes to packaging, and incorrect stock quantities; coordinate the follow-up with vendor accordingly.
  • Coordinate relevant inventory activities, including the communication of product quantities, for new product launches.
  • Pull ad hoc reports to help assess specific product sales trends and new products, as needed.
  • Coordinate with the Data Analyst for quantity projections for new products, seasonal adjustments, etc. for final approval by the Inventory Manager. 



  • Manage the Purchasing email account
    • Categorize, forward, and “clear” emails from purchasing email account
    • Communicate and follow-up with vendors on the day-to-day items, maintaining positive and friendly relationships.
    • Notify the Inventory Manager of any escalated vendor or cross-departmental items that need to be addressed.
  • Communicate relevant and timely product information found in vendor communications.
    • Communicate new product ETAs, discontinuations, out of stocks, and re-stock ETAs to the appropriate team members or departments.  
    • Communicate product issues, product changes, product discrepancies upon receiving, shipping ETAs, new product opportunities, and vendor issues to the Inventory Manager.
  • Vendor communications
    • Continually follow-up with vendors on all new and relevant out of stock products for timely ETAs of shipments.
    • Identify opportunities to grow our relationships with our vendors.
    • Maintain positive, friendly relationships with vendors.


Skills Required:

  • Great Communication: The Sr. Inventory Specialist will constantly communicate with vendors, teammates, and managers across different departments.
  • Strategic: The Sr. Inventory Specialist will need to be able to think critically and see the big picture to understand how information impacts different areas of the company.
  • Attention to Detail: The Sr. Inventory Specialist needs to make sure that details in emails are not missed and correct quantities are ordered and recorded.
  • Self-Starter: The Sr. Inventory Specialist is often independently solving problems by creating a game plan, communicating the plan to the affected teams, and executing on the solution.
  • Time Management: The Sr. Inventory Specialist has many responsibilities and needs to self-manage their time to achieve results and constantly be looking for ways to be most efficient.



  • Associate's degree in accounting, finance, economics, business management, or equivalent experience
  • 2+ years in Vendor Management / Purchasing role.
  • Experience and knowledge of inventory management practices.
  • Excellent business judgment, strong written and oral communication skills, and a practical, common sense approach to getting things done.
  • Demonstrated ability to operate both strategically and tactically in a small business environment.
  • High degree of organization and ability to manage multiple competing priorities simultaneously.
  • Superior analytical skills, with a demonstrated ability to identify root causes of issues.
  • Extreme attention to detail and willingness to do what it takes to get the job done.
  • Demonstrated understanding of generally accepted accounting principles.  Experience with QuickBooks is a plus.
  • Proficient in Microsoft Excel and Google Apps, with the ability to learn new systems quickly.
  • Experience with an e-commerce company is a plus.

Video Production Specialist – Job Posting

Onsite: Ashland, VA

Full-Time: 40 hours/week (Hourly, Non-Exempt)

Reports to: Media Team Manager


As our Video Production Specialist, you will help us to visually display our fountain pen-related products to better educate our engaged and enthusiastic fans and customers. Content marketing helps us build awareness, drive sales, and engage with our community through a number of online channels. Videos showcasing our products have been an integral part of our branding from beginning. It’s something that our customers value highly as both a way to learn about the products they’re interested in buying as well as seeing the passion our team has for the products.


You will be working with our co-founder, Brian Goulet, on a number of different video ideas and shoots as well as with other members of our team. Our style of videos is based heavily on detailed product knowledge, with a lot of macro work shooting fine details of particularly small objects (pens basically!). You’ll get to do a little bit of everything: ideation and collaborating on ideas for new videos, lighting and shooting, editing and publishing. While you’ll be working on a team, the majority of your work will be done independently.




Video Production

  •   Record product reviews, using a multi-cam setup when needed.
  •   Record, edit, export, and upload Quick Look, Goulet Q&A, product reviews, announcements, and special project videos.
  •   Create Q&A Slices from whole Q&A videos for the purpose of providing answers about specific products.
  •   Determine the best cameras, lenses, lighting, audio, and supporting equipment to use for given videos.
  •   Adjust style of video to fit the intended audience.
  •   Create lower-thirds, intros, outros, titles, support graphics, animation, transitions, subtitles, etc.
  •   Create shot lists, storyboards, scripts, and schedules as needed.
  •   Capture, manage, and sync external audio.


  •   Export and upload files to remote file server for podcasts.
  •   Link YouTube videos to their proper pages on website using external hyperlinks, annotations, and cards.
  •   Properly name, tag, export, and publish all video and audio podcasts.

Graphic Design

  •   Create web graphics that combine photography and text.
  •   Ensure consistent visual style across our website, newsletter, blog, social media, etc.
  •   Create Goulet Pens branded print materials including cards, posters, etc.

Collaboration and Creativity

  •   Brainstorm in a group setting with other members of the media team.
  •   Provide creative feedback for special projects, such as video projects, posters, postcards, and other media.
  •   Coordinate schedules with any other team members involved in video production for special projects.

File Management

  •   Properly name and organize videos, photos, and music to standard naming conventions.
  •   Keep a record of all video files named for podcasts.
  •   Manage file backups.

Equipment Management

  •   Organize and properly format all memory cards.
  •   Maintain proper care of all batteries, lenses, camera bodies, lights, microphones, tripods, visual accessories, computer equipment, and other aides. You will use Mac computers, Canon DSLRs, and a Sony camcorder.

An excellent communicator. Quickly respond to requests by email, chat, or in person.

Incredibly flexible. Deadlines and priorities change daily, and the ability to refocus and prioritize is essential.

Super-duper organized. Hundreds of videos are to be named, saved, and backed up using existing naming conventions and file management.

Detail oriented. “Retail is detail” - our customers notice and appreciate every single little detail about the products we display. Often in video form we’re not able to edit it once it’s been published, so making sure you get it right the first time is key.

Great attitude. Work well with others, stay positive, and strive to live out our company values.

Product knowledge. Understand exactly what our products are, so you can best portray them in videos. No previous pen experience is required, just be ready to learn!


Experience Required:

  • Minimum 1 year working in a professional video production environment or role.
  • Bachelor’s Degree or Technical Degree in Video or Graphic Design, or equivalent work experience in a video-related field.
  • Demonstrated proficiency in Adobe Premiere, After Effects, Photoshop, (InDesign optional)
  • Comfortable handling both DSLR and camcorder-style cameras, capturing a variety of close-proximity shots.
  • Experience in taking work through the entire video lifecycle, from ideation to publishing.
